Refund and Cancellation Policy

    1. General Information

    This Refund and Cancellation Policy applies to the services provided by Lens Systems, operated by DOBRIN ILIE PFA, through:

    Lens Systems provides digital and professional services, including CRM implementation, landing pages, sales funnels, automation workflows, consulting, digital marketing, technical setup, integrations and related services.

    2. Free 14-Day Trial

    Every Lens Systems service includes an initial 14-day free trial period.

    The trial begins on the date agreed in writing between Lens Systems and the Client.

    The exact features, activities, deliverables, platform access and level of support included in the trial will be established before the trial begins.

    The free trial is intended to allow the Client to evaluate the service, working process and proposed system. It does not automatically include the full implementation, transfer of complete systems, source files, premium third-party tools or final deliverables unless explicitly agreed in writing.

    No service fee is charged for the agreed trial period.

    Third-party costs, including software subscriptions, advertising budgets, domain names, hosting, API usage, messaging fees or other external services, are not included in the free trial unless Lens Systems confirms otherwise in writing.

    3. End of the Trial Period

    At the end of the 14-day trial, the Client may:

    • continue with the paid service;
    • request a different service package;
    • discontinue the collaboration without paying a Lens Systems service fee for the trial.

    The paid service will only begin after the Client explicitly accepts the commercial proposal, package or agreed scope.

    Continuation after the trial is not automatic unless otherwise agreed in writing.

    4. Advance Payment

    All paid services provided by Lens Systems must be paid in advance.

    Work on the paid stage begins only after:

    • the scope and price have been accepted;
    • the required information and access have been provided;
    • the advance payment has been received.

    For recurring services, the fee must be paid before the beginning of each billing period.

    Failure to make payment on time may result in the suspension or postponement of the service.

    5. Non-Refundable Services

    Because Lens Systems provides digital, customized and time-based professional services, payments made after the free trial are non-refundable once the paid service has started.

    Paid services are not eligible for return or refund because they may involve:

    • reserved working time;
    • consulting and strategic analysis;
    • custom configurations;
    • CRM implementation;
    • workflow and automation development;
    • landing page or funnel creation;
    • account setup and integrations;
    • personalized digital materials;
    • access to digital systems or deliverables;
    • other work performed specifically for the Client.

    The Client acknowledges that these services cannot be physically returned after work has begun or the agreed digital deliverables have been supplied.

    6. Client Approval to Begin Work

    By accepting the commercial proposal and making the advance payment, the Client expressly requests that Lens Systems begin providing the service.

    Where the Client qualifies as a consumer under applicable law, work performed during the statutory withdrawal period will begin only following the Client’s express request.

    If the service is fully performed during that period, the Client acknowledges that the statutory right of withdrawal may be lost, in accordance with applicable law.

    If only part of the service has been performed before a legally valid withdrawal request, Lens Systems may retain or request payment proportional to the work already completed, where permitted by law.

    7. Cancellations

    The Client may request cancellation before the paid service begins.

    If Lens Systems has not started the paid work and has not incurred costs or reserved resources specifically for the project, the parties may agree to cancel the service and refund the payment.

    Once work has begun, payments are non-refundable.

    For recurring services, the Client must submit the cancellation request before the next billing period. Cancellation prevents future renewals but does not generate a refund for the current billing period.

    8. Third-Party Costs

    Payments made for third-party products or services are governed by the refund policies of their respective providers.

    These may include:

    • GoHighLevel or other CRM platforms;
    • hosting and domain services;
    • email, SMS or WhatsApp services;
    • advertising platforms;
    • automation and integration tools;
    • premium plugins, templates or software;
    • API usage and other external services.

    Lens Systems cannot guarantee refunds for payments processed by third parties.

    9. Exceptional Situations

    If Lens Systems cannot provide a paid service for reasons attributable exclusively to Lens Systems, the Client may receive:

    • a rescheduled delivery date;
    • service credit;
    • an alternative service;
    • a full or partial refund for the undelivered portion.

    The appropriate solution will be determined according to the amount of work already completed and the circumstances of the project.

    10. How to Submit a Request

    Cancellation or refund requests must be submitted in writing and must include:

    • the Client’s name;
    • the business name;
    • the service concerned;
    • the payment date;
    • the reason for the request;
    • relevant supporting information.

    By accepting a proposal, making an advance payment or requesting that paid work begin, the Client confirms that they have read, understood and accepted this Refund and Cancellation Policy.

    This policy does not limit any mandatory rights granted to consumers under applicable Romanian or European Union law.
